A coaching moment is a conversation. Period. That means it's a two way interaction where the leader (YOU) are directing it because you have the agenda and facts to address but it's important to remember that you must leave space for your colleague to share as well. This is the only way you will be able to learn their language and how to support them.

Depending on what the theme of the coaching conversation is, it can be useful to verbalize how the conversation will go.

An example would be:

"Thank you for taking the time to sit with me today. We are here to speak about some instances that have occurred where our company policies have not been followed. I am going to share the facts that I've gathered with you and read over the policies and then I'd like to open this conversation up to hear what you have to share and how I / we can support you going forward." 

Setting the pace of the conversation shows the team member that you want to hear from them and that this isn't a finger pointing interaction. Choosing your words are really key here as well.
